Authorized Pickup Person Agreement
Sending someone else to pick up your rental? Use our Authorized Pickup Person Agreement to approve a third party to collect equipment on your behalf.
If you are unable to pick up your rental order yourself, you may authorize another person to do so. This form helps us verify that the pickup has been approved by the primary customer before any gear is released.
What is the Authorized Pickup Person Agreement?
This form allows the primary customer on an order to authorize another individual to pick up rental equipment on their behalf. It helps protect both the customer and Everything Film Equipment by ensuring we have written permission before releasing gear to someone other than the original renter.

When Do I Need This Form?
This form is required when the person picking up the order is not the main customer listed on the rental.
Examples:
- You booked the rental, but a friend, assistant, or crew member is picking it up
- You are unavailable during the pickup window
- A team member is collecting gear for your production
- You want to pre-approve someone else to collect your order
If the main customer is picking up the order themselves, this form is not needed.
How Third-Party Pickup Works
Step 1 – Complete the form
The main customer fills out and signs the Authorized Pickup Person Agreement.
Step 2 – Send it to us in advance
Submit the completed form before or on the pickup date.
Step 3 – Pickup person arrives with ID
The authorized pickup person must present valid government-issued photo ID at pickup.
Step 4 – Rental paperwork is completed at pickup
Before equipment is released, the pickup person will need to complete the required rental documentation and will become the liable party for the order.
Important Information Before Pickup
- Completing this form does not guarantee release of equipment
- Everything Film Equipment reserves the right to refuse service at its discretion
- The authorized pickup person must pass identity verification at pickup
- The authorized pickup person becomes responsible for the rental once gear is released
- The main customer may revoke authorization in writing at any time before pickup
- If authorization is revoked, the individual will no longer be permitted to pick up under that account
Authorized Pickup Person Agreement
THIS AUTHORIZED PICKUP AGREEMENT (“Agreement”) is made and effective upon submission and signing by the primary customer (“Renter”) and applies to any order placed with Everything Film Equipment Inc. By signing this Agreement, the Renter authorizes a third party (“Authorized Pickup Person”) to collect rental equipment on their behalf under the terms outlined below. This Agreement is supplemental to and does not replace any applicable rental terms.
1. Authorization of Pickup Person
The Renter hereby authorizes the following individual(s) to pick up rental equipment on their behalf:

- Phone Number
- Email Address
- Authorized For:
- This specific order only
- All future orders under my account
- Where no expiry date applies, authorization remains active until the Renter submits a written request for removal.
2. Verification Requirements at Pickup
At the time of pickup, the Authorized Pickup Person must:
- Present valid government-issued photo identification
- Provide identification that matches the individual present
- Comply with all verification procedures required by Everything Film Equipment
Everything Film Equipment will collect and store identification for internal record-keeping and verification purposes.
3. Transfer of Responsibility and Liability
Upon release of equipment to the Authorized Pickup Person:
- The Authorized Pickup Person becomes the responsible and liable party for the rental
- They will be required to complete and sign all necessary rental documentation at pickup
- They assume full responsibility for the care, return, and condition of the equipment
The Renter acknowledges that once equipment is released, the Authorized Pickup Person is treated as the acting renter for that order.
4. Renter Acknowledgment
By authorizing a third party, the Renter confirms:
- They trust the Authorized Pickup Person to act on their behalf
- They understand that the Authorized Pickup Person will assume liability upon pickup
- They release Everything Film Equipment from any disputes between the Renter and the Authorized Pickup Person regarding the use or handling of equipment
5. Right to Refuse Service
Everything Film Equipment reserves the right, at its sole discretion, to:
- Refuse release of equipment to any Authorized Pickup Person
- Request additional verification or documentation
- Deny pickup if identification, behavior, or circumstances raise concern
The Renter acknowledges and agrees that such decisions may be made to protect the company’s equipment and operations.
6. Revocation of Authorization
The Renter may revoke authorization for any Authorized Pickup Person at any time by providing written notice to Everything Film Equipment.
- Revocation will only take effect once confirmed by Everything Film Equipment
- Everything Film Equipment may remove stored identification and authorization records upon request, subject to internal record-keeping requirements
- Once revoked, the individual will no longer be permitted to pick up equipment under the Renter’s account
7. Indemnification
The Renter agrees to indemnify and hold harmless Everything Film Equipment Inc. from any claims, disputes, or damages arising from:
- Authorization of a third party
- Any misuse, miscommunication, or disagreement between the Renter and the Authorized Pickup Person
8. Acknowledgment and Agreement
By signing, the Renter confirms:
- They authorize the individual listed above
- They understand liability transfers to the Authorized Pickup Person at pickup
- They accept all terms outlined in this Agreement
This Agreement is governed by the laws of the Province of British Columbia, Canada, and any disputes will be subject to the jurisdiction of BC courts.
